When you use our statistical services, we may collect and process data (information) about you. This privacy notice explains the types of data we collect, how we handle and store your data, and your legal rights towards your data.

Personal data we collect
The personal data we collect depends on how you interact with us. It may include:
- full name
- email address
- phone number
- job title
- organisation name
- organisation address
The privacy notice for GOV.WALES tells you what to expect when you provide personal information through the GOV.WALES website and services. This includes sign-ups to our fortnightly e-newsletter and responses to blogs and formal consultations.
The Welsh Government privacy notice tells you what to expect when you provide personal information through contacting Welsh Government. This includes being part of one of our stakeholder groups, taking part in an event, or making a freedom of information request or complaint.
This privacy notice covers the additional aspects of your engagement with statistical services that are not covered in other privacy notices.
How we collect your data
We collect your data when you interact with us:
- by providing feedback on our statistical outputs or services, either in response to a specific request or by proactively providing feedback
- by contacting us with a data request or query
How we use your information
When you contact us in response to a specific request for feedback
For example, you respond to a request from us for feedback on a statistical report. This is so we can better understand the needs of our users and ensure that our outputs are relevant and useful. In these cases, we will only use your personal information for this specific request. We may use your personal information to contact you if we need clarification or to further discuss any issues raised. We will also use your information to provide an update on the outcomes of the exercise.
When you contact us proactively through our published contact email addresses
In these cases, we will use your personal information to contact you with a direct response to your feedback or request. Your personal information will not be used for any other purpose.
When you provide feedback through our online feedback tools
For example, you provide feedback on StatsWales using the feedback form provided. Feedback tools like this are in place to capture user views on our services, and suggestions for future development. In some cases, we will use your personal information to contact you with a direct response. This is where we are able to provide a specific answer to the query, issue or feedback you have raised. Other more general feedback may not require a direct response from us. We will hold your personal information provided through our feedback tools to help support the future development of our services and we may contact you to invite you to take part in future relevant research or inform you about new features. You can opt out of this as part of the initial feedback form, or in the future by contacting us at stats.info.desk@gov.wales.
How long we keep your information for
Records such as emails containing your personal information are stored securely within Welsh Government’s records management system. We will keep the files in line with the review dates in our retention and disposal schedule. Your personal information will be disposed of securely once the retention period has ended.
Legal basis for processing
Under the UK General Data Protection Regulation (GDPR), we process your personal data as necessary to perform a task carried out in the public interest, or in the exercise of official authority vested in us.
Who we share your data with
It may be necessary to share your information with:
- other Welsh Government teams where necessary to respond to your query or deliver a service
- service providers who support us in providing a service (for example StatsWales), managing events, surveys or communications (under strict contractual agreements)
Any third parties we share data with must comply with UK GDPR and our security standards.
Your rights
Under data protection legislation, you have the right:
- to be informed of the personal data Welsh Government holds about you and to access it
- to require us to rectify inaccuracies in that data
- to (in certain circumstances) object to or restrict processing
- for (in certain circumstances) your data to be ‘erased’
- to (in certain circumstances) data portability
- to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection
