1. Who is collecting my data?
The Welsh Government is responsible for the implementation of the Well-being of Future Generations (Wales) Act 2015, which aims to improve the social, economic, environmental, and cultural well-being of Wales.
The aim of the Sustainable Development Co-ordinators Cymru+ network is to progress and support sustainable development in public service delivery and to assist public sector organisations with their task to embed sustainable development across how they do things, in order to build better outcomes for Wales.
The Welsh Government is conducting a survey of the members of the Sustainable Development Co-ordinators Cymru+ network, which includes the public bodies subject to parts 2 and 3 of the Well-being of Future Generations Act (Wales) Act 2015.
The purpose of the survey is to:
- learn more about members experience of being part of the Sustainable Development Co-ordinators Cymru+ network.
- to seek views on other networks.
- to seek feedback from public bodies discharging the well-being duty in the Well-being of Future Generations (Wales) Act 2015.
- invite survey participants to become involved in peer support.
Welsh Government is the Data Controller for this survey.
2. Purpose of this privacy notice
This notice sets out how we will use your personal data.
This notice is provided within the context of the notice provided to meet the obligations as set out in Articles 13 and 14 of UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 (DPA).
3. Personal data we collect
The personal data we will collect from you for question 7 of the survey includes:
- contact details (name, organisation, email address)
The Welsh Government ;will collect your survey responses and any other personal data through the Smart Survey platform, Smart Survey then stores those survey responses and other personal data for Welsh Government.
By accessing the Smart Survey your IP address is discarded, not stored anywhere and there is no opportunity for it to be observed by a user.
The survey provides for free-text answer fields. Do no enter any personal data into these answer fields. Any personal data entered in these answer fields will be deleted.
4. How we use your personal data
The purpose for which we are processing your personal data is to enable us to carry out our functions as Welsh Government. This includes:
- analysis of responses to the survey
- to re-contact you for participation in peer support where you have agreed to this.
You do not have to provide any personal data to participate in the survey and all questions are optional. The SmartSurvey will not collect your personal data unless you add it to the free text fields.
5. Our legal basis
The legal basis for processing your personal data under Article 6 of the UK GDPR is:

Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the data controller.
This processing is necessary for the exercise of the functions of Welsh Ministers under section 60 of the Government of Wales Act 2006, to achieve the promotion or improvement of the economic, social and environmental well-being of Wales. This survey provides Welsh Ministers and government officials with organisations’ views of the Well-being of Future Generations (Wales) Act 2015 in order to inform future policy development and implementation.
6. Who your personal data will be shared with
If you provide them, your contact details may be shared with the Office of the Future Generations Commissioner for Wales to undertake peer support. This will be for the purposes of re-contacting you to engage with you on an approach to peer support about discharging the well-being duty under the Well-being of Future Generations (Wales) Act 2015.
Welsh Government may share the answers submitted to the survey with Sustainable Development Co-ordinators Cymru+ network.
Your personal data will be processed by SmartSurvey; however, we do not otherwise actively share your personal data with SmartSurvey.
7. How long your personal data will be kept for
Your personal data will be held in line with Welsh Government’s Retention and Disposal Schedule and will be stored on a protected area of i-Share (Welsh Government’s internal document management system).
We will retain your personal data for no longer than 3 years in line with “Routine Business – Short Term” records set out in the Welsh Government Retention and Disposal Schedule. Should you wish to have your personal data removed you can contact us to request this. Please see our contact details under section 10 of this notice.
8. Will my data be used for automated decision making or profiling?
We will not use your data for any automated decision making.
9. Your rights
You have rights over your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 (DPA 2018). Sustainable Futures Division ensure that it upholds your rights when processing your personal data.
Under the data protection legislation, you have the right:
- to be informed of the personal data held about you and to request a copy
- to require us to rectify inaccuracies in that data without delay
- to (in certain circumstances) object to or restrict processing
- for (in certain circumstances) your data to be ‘erased’
- to (in certain circumstances) data portability (allowing you to get and reuse your data for different services)
- to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.
