Privacy notice for the Public Appointments Co-creation Event 2025.

Background

The Public Appointments Team in Welsh Government are facilitating a collaboration even on the 5 November 2025. As part of the preparation for this event, the team is issuing a web form. This form will consider individuals' dietary and accessibility needs, language preferences for the day, and consent to the taking and use of photos. It will also help ensure fair representation of sectors at the event.

In completing the form the Welsh Government will receive personal information (name and e-mail address) linked to the responses.

The Welsh Government receives this personal information (name, email addresses and responses) of attendees when they submit their responses. 

What do we do with your information?

The personal information you provide will be held in the interests of ensuring that the necessary adjustments are made for accessibility requirements, to ensure that appropriate food options are provided for any dietary requirements and to consider whether there are translation requirements should 10% or more of the attendees identify Welsh as their language preference.   

Your contact details will be used to send you further information prior to the workshop. It will not be possible for Welsh Government or other delegates to see any personal information as part of the workshop as correspondence will be sent out using measures to keep e-mail addresses and personal information secure.

What is the lawful basis for using your data?

The Welsh Government (‘we’) will be the data controller for the personal data you provide. This ensures that all measures are taken to meet your accessibility needs, dietary requirements, preferences regarding photography at this event, and the ongoing use of photos. Additionally, your language preference will be considered.  We will use this data to inform planning for the day and ensure that your needs are met. 

Collection of your organisations details are to help ensure fair representation of sectors at the event. Our lawful basis for processing this information is our legitimate interest in maintaining a representative and diverse event. 

How long will we keep your information?

Welsh Government will keep participants’ contact details, and any information that has been sent to them by participants until the workshop has been completed.

The information will not be shared outside of the Welsh Government.

Your rights in relation to your information

Under the data protection legislation, you have the right: 

  • to access the personal data the Welsh Government holds on you;
  • to require us to rectify inaccuracies in that data
  • to (in certain circumstances) object to or restrict processing
  • for (in certain circumstances) your data to be ‘erased’
  • to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection.
