Privacy notice – Best Practice in the safe use, storage, and disposal of Plant Protection Products (PPPs) Event
We will be hosting a joint event with the Health and Safety Executive (HSE) on the appropriate use, storage and disposal of plant protection products (PPPs) in the amenity sector across Wales.
The aim of the day is to ensure greater compliance amongst operators of PPPs by giving key amenity stakeholders in Wales the opportunity to hear from the HSE about the effective and safe use of PPPs in accordance with the Plant Protection Products Regulations 2011, Plant Protection Products (Sustainable Use) Regulations 2012 and Official Control (Plant Protection Products) Regulations 2020.
By registering for this event, you agree that the personal data you submit as part of your registration can be used for the following purposes:
- To communicate with you regarding the event
- To send you relevant documents relating to the event
- To send reminders about this event
- To send follow up information with regards to the event
Lawful basis for processing
The Welsh Government will be the controller for the personal data you have provided on the online portal and will process it in line with our public task and the official authority vested in us.
What personal data we will collect and process
To send you information about the event, we will gather the following personal data:
- Name
- E-mail address
- Organisation name
- Language preference
We will also gather ‘special category data’ to ensure any additional requirements are accommodated during the event. This information is optional, processed by consent and will be deleted after the event:
- Accessibility requirements
- Dietary requirements
In the interests of networking during the event, your name and organisation name may be shared with other registered attendees.

During the event, Welsh Government officials may take photographs to support promotion of the event to relevant stakeholders. These images may be used in the Welsh Government Plant Protection Products e‑newsletter and on the Welsh Government’s pesticides webpage.

Who will have access to your data
The information collected using SmartSurvey will be accessible by relevant Welsh Government staff and its system technical administrators who support the I.T. system. System technical administrators will not use your details in any way.
How long your details are kept for
All personal information collected will be deleted from Welsh Government systems once the event has taken place.
Your rights in relation to your information
Under the data protection legislation, you have the right:
- to be informed of the personal data Welsh Government holds about you and to access it
- to require us to rectify inaccuracies in that data
- to (in certain circumstances) object to or restrict processing
- for (in certain circumstances) your data to be ‘erased’
- to (in certain circumstances) data portability
- to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection
