Correspondence: documents and messages

To view documents and messages, select the Correspondence tab from the green bar on your Homepage.

Documents - you can view the most recent documents under the ‘Latest Documents’ section. Recently submitted documents might not appear online straight away and may never appear online depending on the type of document submitted. You must  submit all applications online as we no longer accept paper copies by post.

Opening documents – When you click on a document, it will download to your computer as a file and you can select to open it. The document will display in a new window, which you can minimise or close to return to your Homepage. Please note: you will need the latest version of Adobe Reader DC installed to view any PDF documents.

Find documents – in the Find documents section, under ‘Documents Sent By’, you can select the following options from the menu: 

Everyone – for documents sent from us to you and sent from you or your agent/farming union to us.

RPW – for documents sent from us to you.

You – for documents sent from you or your agent/farming union to us

When you select the ‘Scheme’ button, you can select to view all documents or a document for an individual scheme using the drop-down menu. Click on ‘Find Documents’ to search or the ‘Reset’ button to begin a new search.

Upload a Document and Create a message

When you click on the ‘Upload Document’ button, you will see the ‘Create a message ‘page. If you have a query regarding an existing issue, please locate the original message and reply from there wherever possible. This will help us assist you more efficiently.

When you create a new message, provide a title for the message, write your message in the text box and include all relevant information. Select the ‘Add File’ box if you want to upload a document and you will be redirected to a new screen to find the document you wish to upload. Click on document and select ‘Open’ from the pop-up box.

Uploaded documents appear underneath the ‘Add Files’ button. A green tick displayed next to the document indicates a successful upload. A red cross indicates there is an issue and the file has failed to upload. If this occurs, check the maximum combined file sizes listed next to the successfully uploaded files. The maximum combined file size for an upload is 100MB.

Please note: the system does not recognise the following symbols “&@*$^! If your message contains one of these symbols, an error message will appear and you will lose the message. You can delete an incorrect upload by selecting the red ‘Remove’ button displayed at the end of each document. To post the information, click the ‘Send’ button. You will receive a pop-up message confirming receipt and providing you with an individual identification number.

RPW Online messages

There are two ways to access your messages online. Your Homepage will list you latest messages. For earlier messages, select the ‘View all messages’ button directly underneath this section. You can also access messages through the ‘Correspondence’ tab on the green menu bar. 

All documents sent to you by RPW will create a message. When you first accessed your online account, you selected a Notification Preference. You either chose Email, SMS, or both. You will receive a notification via your preference when there is a new message for you to view.

Messages page - All communication between you and RPW Online appears on the ‘Messages’ page. Each message displays the subject title, sender’s name, message, date, and time of posting. There are two icons which may also present. A black box will show the number of attachments, and a blue box will show the number of messages received for that individual topic. Each message has a unique six-digit reference number found in right-hand corner of the message box. This reference number allows you to locate the original message to add updates or messages to it. We can assist you more efficiently when all information is stored under one reference number.

On this page, you can choose to view, find or print messages. You can also select ‘Create a Message. Please see above section ‘Upload a Documents and Create a Message.

Viewing messages – when you select ‘View a message’, all correspondence between you and RPW Online is available to view. You can open attachments, print, reply to messages and add documents. 

Finding messages – If you want to focus your search for a specific scheme period, select ‘Scheme’ and choose from the drop-down menu and confirm by clicking ‘Find Messages’.

Replying to messages - If you have a message sent to you from RPW Online, you can respond from the ‘Viewing Messages’ screen. Add your response in the empty text box, if you wish to upload documents, select ‘Add Files.’ A new window will appear,  enabling you to locate your files. You have the option of uploading from your computer or mobile device. Select ‘Reply’ to post the message.
