Survey on awareness and use of diversity and inclusion guidance for registered political parties: privacy notice

The purpose of this survey is to gather feedback from registered political parties standing candidates in Welsh elections about their awareness and use of the Welsh Government’s Diversity and Inclusion guidance (published in March 2025), and the extent to which the guidance may have informed practices on diversity and inclusion. 

The Elections and Elected Bodies (Wales) Act 2024 requires the Welsh Ministers to review the guidance from time to time, having regard for the cycle of local and national elections in Wales. Responses to this survey will help inform the Welsh Government’s initial review of the guidance.

Participation in the survey is voluntary, and survey responses will not be attributed to any individual or political party in any reporting of the results. Responses will remain anonymous unless you choose to provide your contact and email address at the end of the survey. 

The terms of this Privacy Notice will be relevant should you decide to provide personal data at the end of the survey. 

Welsh Government is the data controller for personal data collected through this survey and the lawful basis for processing information in this data collection exercise is our public task; that is, exercising our official authority to undertake the core role and functions of the Welsh Government. (Art 6(1)(e)) 

Personal data provided may be used to contact respondents who have indicated they are willing to discuss their survey responses and experiences of the Diversity and Inclusion guidance in more detail or for the purpose of clarifying aspects of the responses provided. Personal information provided will be stored on a secure server, accessible only to the Welsh Government team responsible for the continuous improvement and development of the Diversity and Inclusion guidance for registered political parties and staff members responsible for building and managing the survey.

Welsh Government has procedures to deal with any suspected data security breaches. If a suspected breach occurs, Welsh Government will notify you and any applicable regulator where we are legally required to do so.

Welsh Government will retain your details for a period of up to 1 year while the review of the guidance is being conducted.

The Welsh Government may make changes to this privacy policy at any time. We will notify you immediately of any changes to enable you to review the new version, which will be effective immediately.

Under the data protection legislation, you have the right:

• to be informed of the personal data held about you and to access it
• to require us to rectify inaccuracies in that data
• to (in certain circumstances) object to or restrict processing
• for (in certain circumstances) your data to be ‘erased’
• to (in certain circumstances) data portability
• to lodge a complaint with the Information Commissioner’s Office (ICO) who is our independent regulator for data protection
