How to create and edit the 'HTML Document Contents' content type on GOV.WALES.

Creating a new HTML Document Contents page

  1. Log in to GOV.WALES and LLYW.CYMRU.
  2. Select the Workbench view in GOV.WALES (you must start on the English site).
  3. Select Create content.
  4. Select HTML Document Contents.
  5. Complete the Title field.
  6. Complete the Summary field (when there is only one document attached to the publication this summary should be the same as the publication summary).
  7. Start typing the name of the HTML document that you want to include in the HTML DOCUMENTS field.
  8. Select the correct HTML Document from the list.
  9. If you want the HTML Document Contents to display an alternative title for the HTML Document then type this in the Custom text field.
  10. Select Add another item and repeat steps 7 to 9 to add additional HTML Documents.
  11. Uncheck Generate automatic URL alias.
  12. Specify an appropriate URL alias, based on the title of the document, and add ‘-contents’ to the URL alias. Follow naming files and HTML documents for advice on creating URL aliases.
  13. Check the First Published and LAST UPDATED dates.
  14. Select Save and Create New Draft.
  15. To add the Welsh content, select TRANSLATE.
  16. Select Add from row labelled Welsh.
  17. Update fields with Welsh language content.
  18. Uncheck Generate automatic URL alias.
  19. Specify an appropriate URL alias, following the same approach as the English language version, and add ‘-cynnwys’ to the URL alias. Follow naming files and HTML documents for advice on creating URL aliases.
  20. To save changes without making them public select Save and Create New Draft (this translation). To save and make changes public select Save and publish (this translation).
  21. Publish the Welsh and the English and check both languages, for example layout is correct and links work.

Editing an existing HTML Document Contents page

  1. Log in to GOV.WALES and LLYW.CYMRU.
  2. Find the existing HTML Document Contents either by browsing the public site or select Workbench then All recent content. You must do this on GOV.WALES as the English content must be edited first.
  3. Open the HTML Document Contents.
  4. Select EDIT DRAFT or NEW DRAFT.
  5. Edit the HTML Document Contents or Add another item to add new pages (see steps 7 to 9 in How to create).
  6. Complete Revision log message (all languages) with brief summary of changes.
  7. Change the LAST UPDATED date. Steps 6 and 7 are only for content changes. Do not use for typos and format changes.
  8. To save changes without making them public select Save and Create New Draft (this translation). To save and make changes public select Save and publish (this translation).
  9. Make the same changes to the Welsh version of the HTML Document Contents.
